Privacy Policy

This Privacy Policy explains what personal information The To-Do Dudes, LLC ("we," "us," "our") collects, how we use it, who we share it with, and your rights. By using our Platform or Services, you accept this Policy.
 

1. Information We Collect

We collect the following categories of personal information:

  • Identifiers: first and last name, email address, phone number, home address, billing address, account password (hashed);

  • Profile information: profile picture (if you upload one), referral code, Membership tier;

  • Commercial information: jobs booked, services received, invoice history, payment records (excluding full card numbers);

  • Payment information: card type, last four digits, expiration, and payment token — full card numbers are processed and stored only by our PCI-compliant payment processors (Stripe and/or Fieldd); we never store full card numbers ourselves;

  • Access information: gate codes, lockbox codes, alarm codes, and keys you provide for a booked job;

  • Device and usage data: IP address, browser type, device identifiers, platform usage, and analytics;

  • Communications: messages, emails, SMS, and call recordings with us;

  • Media: before/during/after photos and videos captured during Services, as described in Section 8 of the Terms of Service (available at thetododudes.com/terms)

2. How We Collect It

We collect information directly from you (when you book, call, text, or email), automatically (through cookies, analytics, and platform usage), and from third parties (payment processors, analytics providers, and referral sources). Call recordings are collected pursuant to your consent in Section 9 of the Terms of Service.

3. How We Use It

We use personal information to:

  • Provide Services, including scheduling, dispatching, and following up on jobs, and communicating with you about your account, bookings, and invoices;

  • Process payments, authorize cards, and bill Memberships and job invoices;

  • Send newsletters and promotional messages (which you can opt out of);

  • Administer our referral program;

  • Improve our Platform and Services;

  • Access the job site when you share gate or access codes;

  • Document work performed and support damage-claim and quality processes;

  • Use photos and video for marketing, subject to Section 8 of our Terms of Service (available at thetododudes.com/terms);

  • Comply with legal obligations and protect our rights.

4. Who We Share It With

We do not sell or rent your personal information. We share it only with:

  • Service providers who help us operate — including Stripe and Fieldd (payments and customer management), Zendesk (support ticketing), email and SMS delivery vendors, and cloud storage providers. These providers are bound by confidentiality and data-protection obligations;

  • Our Dudes — limited to what they need to perform the job (your name, job address, contact number, and any access codes you've shared);

  • Legal and safety — if required by law, court order, or to protect rights, safety, or property;

  • Business transfers — if we are involved in a merger, acquisition, or sale, information may transfer, subject to reasonable safeguards.

5. Data Security

We use administrative, technical, and physical safeguards to protect personal information, including encryption in transit, access controls, and vendor due-diligence. No system is perfectly secure, and we cannot guarantee the security of information transmitted over the internet.

6. Breach Notification

If we determine that a security breach has compromised your personal information, we will notify you and the Florida Attorney General (and any other required regulator) as required by Florida's Information Protection Act (§501.171) and any other applicable law, within the time periods required by that law.

7. Data Retention

We keep personal information only as long as needed to provide Services, comply with legal obligations, resolve disputes, and enforce our agreements. After that, we securely delete or anonymize it. Job photos and invoice records are typically retained for at least seven (7) years for tax, insurance, and warranty purposes.

8. Your Rights and Choices

Regardless of where you live, you may:

  • Access and correct your information through your account or by emailing info@thetododudes.com;

  • Request deletion of your information by emailing info@thetododudes.com (subject to legal retention);

  • Unsubscribe from marketing communications as described in Section 9 of our Terms of Service (available at thetododudes.com/terms);

  • Request removal of your likeness from active marketing, as described in Section 8 of our Terms of Service (available at thetododudes.com/terms).

9. Children

The Platform is not directed to children under 13. We do not knowingly collect personal information from children under 13. If you believe a child under 13 has given us information, contact info@thetododudes.com and we will delete it.

10. Cookies and Analytics

We use cookies and similar technologies for essential functionality, performance analytics, and marketing. You can control cookies through your browser settings; disabling them may affect functionality.

11. Third-Party Links

Our Platform may link to third-party websites. We are not responsible for their privacy practices. Review their privacy policies before providing information.

12. Changes to This Policy

We may update this Policy. We will post the new Effective Date above and, for material changes, notify you by email or Platform notification.
